Last updated 12 October 2026
The Protection of Personal Information Act, 2013 (POPIA) sets the rules for how personal information is handled in South Africa. Schools trust Learnesso with information about their learners, families and staff, and we take that seriously. This page explains how we apply POPIA, and how you can make a request or a complaint.

02Schools and Learnesso
When a school runs on Learnesso, the school is the responsible party for its learners', parents' and staff members' information: it decides what is collected and why. Learnesso is the operator: we process that information on the school's behalf, only to provide the service and on the school's instructions.
For information collected through this website, such as demo bookings, Learnesso is the responsible party. Our Privacy Policy explains that processing.
03How we apply POPIA
POPIA sets eight conditions for lawful processing. This is how we apply them:
- Accountability
- We take responsibility for the personal information we process, and our Information Officer oversees how we comply.
- Processing limitation
- We collect only what we need, for a clear and lawful reason, and wherever possible directly from the person concerned.
- Purpose specification
- We collect information for specific purposes, explain them, and keep information only as long as those purposes require.
- Further processing limitation
- We don't use information for purposes unrelated to the reason it was collected.
- Information quality
- We take reasonable steps to keep information accurate and up to date, and we correct it when asked.
- Openness
- We explain what we collect and why, in our Privacy Policy and inside the platform.
- Security safeguards
- Access is restricted by role, each school's staff see only their own school, information is encrypted in transit, and card payments are handled by Paystack.
- Data subject participation
- People can ask to see, correct or delete their information, and object to its processing.
04Children's information
Most learners on Learnesso are under 18. Their information is provided by their school or by a parent, guardian or other competent person, who confirms they are entitled to share it. We use it only to provide the platform to the school, including admissions, teaching and tutoring, assessment, fees and communication, and to keep it secure. We never sell it or use it for advertising.
05AI-assisted features
Some features, such as Astrid and AI marking, use AI to help learners and teachers. They are aids, not decision-makers: teachers review and release marks, and no decision about a learner's admission is made by automated means alone.
06If something goes wrong
If we have reasonable grounds to believe personal information has been accessed or acquired by someone without authorisation, we will act to contain it. For school information, we will notify the affected school without delay so it can inform the Information Regulator and the people affected, and we will help it do so. For information we are responsible for, we will notify the Information Regulator and the people affected ourselves.
07Making a request
You can ask us to:
- confirm whether we hold personal information about you, and give you a copy;
- correct or delete information that is inaccurate, incomplete, out of date or no longer needed; or
- stop processing your information, where you have the right to object.
Email your request to info@learnesso.co.za, saying what you would like and how we can reach you. We may need to confirm your identity before we act, and we aim to respond within 30 days.
If your request is about a learner's school records, such as marks, attendance or an application, please contact the school first, as it is the responsible party. We will help the school deal with your request.
08Complaints
If you are unhappy with how we have handled your information, please contact our Information Officer at info@learnesso.co.za first so we can try to put it right. You also have the right to complain to the Information Regulator:
